Position:
The Idaho Department of Environmental Quality (DEQ) is hiring a Technical Records Specialist 1 for the Twin Falls Regional Office.
Salary Range: $15.65–$17.74
Responsibilities:
· Document Management
- Research and assist with maintaining regional records.
- Scan and save correspondence and documents in DEQ’s electronic document management system (EDMS).
- Send, track, and retrieve records from record storage using Versatile.
- Retrieve records from storage units and prepare records for entry in EDMS.
- Prepare document disposal forms as needed.
· Administrative Support:
- Provide administrative support for all programs and staff in the region.
- Prepare, proofread, and edit correspondence, documents, and reports.
- Complete copy jobs, scanning, and miscellaneous special projects as assigned.
- Create, update, and maintain electronic (i.e., EDMS) and hard copy filing systems.
- Coordinate all travel, meetings, and conference calls.
- Provide support for the watershed advisory groups and basin advisory groups.
- Coordinate arrangements for meetings. Prepare agendas, handouts, and other meeting materials.
- Type meeting minutes.
- Assist with outreach activities.
- Perform other tasks as assigned.
- Maintain vehicle fleet mileage and maintenance reports.
· Front Desk Reception:
- Answer all incoming telephone calls.
- Greet and direct all visitors.
- Log complaints and direct to appropriate staff.
- Process incoming and outgoing mail, packages, and faxes.
- Review newspapers for environmental articles related to our office.
- Schedule and coordinate arrangements for meetings and conferences.
- Set up meeting rooms and equipment and provide technical assistance.
Minimum Qualifications:
Experience:
• Monitoring a records system to identify and correct errors. Typically gained by at least one year of full-time work experience monitoring records systems, identifying problems, and correcting errors.
• Researching a variety of sources to resolve problems. Typically gained by at least one year of full-time work experience gathering information from a variety of sources to collect and compile requested information.
• Interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments. Typically gained by at least one year of full-time work experience with a responsibility for reviewing documents or actions for compliance with laws, regulations, and/or policies OR through explaining to others how laws, regulations, or policies apply to specific situations.
• Entering and retrieving data using a computerized records system. Typically gained by at least 6 months of full-time work experience where entering and retrieving data within a database records system or other computer records system was a requirement of the job.
Physical Requirements (with or without reasonable accommodations
• Ability to sit and work on a computer for 2-4 hours at a time.
• Ability to bend and reach for filing purposes.
• Some periods of heavy reading and typing are required.
• Ability to lift 30 pounds when working with file boxes.
• Some travel may be required.
• Ability to climb ladders, staircases, work on uneven terrain.
