The Idaho Department of Water Resources is seeking a dynamic, customer focused individual to manage our front desk reception area located in Boise. The Office Specialist II is responsible for all front office tasks and assists with multiple projects throughout the Department. This position is IDWR’s first line of contact with the public, Idaho Water Resource Board members, and Idaho’s state representatives. The Office Specialist II must be dependable and always present a professional appearance and demeanor. This position works in-office, Mon. – Fri., 8:00 AM – 5:00 PM with scheduled time off for breaks and lunch.
Example of Duties
· Maintain the front desk reception area and equipment
· Answer and screen incoming calls; greet and screen visitors
· Process in and outbound mail and provide exceptional customer service to outside stakeholders, board members, administrators and staff
· Assist with a variety of projects, sometimes multiple projects at once
· Receive customer payments, prepare receipts, and reconcile deposits for reporting purposes
· Provide information and explain department policies, services, and procedures to others
· Ensure accuracy and compliance with rules, regulations and/or policies; identify and correct errors
· Maintain multiple calendars for conference room and vehicle reservations.
· Monitor incoming department general interest emails
· Create, review, and process documents/records, letters, and/or reports using word processing software and equipment
· Create and maintain files; perform data entry
· Proof documents from staff for composition, grammar, and punctuation
Minimum Qualifications
Good knowledge of:
· Rules of effective business English usage, spelling, punctuation, and grammar.
Experience:
· Using alphabetical, numerical, or subject filing systems to include determining file. names, setting up new files, classifying, labeling, filing, and retrieving.
· Reviewing documents for compliance with established procedures.
· Using a computer to enter and retrieve information.
· Answering a business telephone using knowledge of business telephone procedures and etiquette.
MQ Specialties
Experience:
· Operating word processing equipment and software
· Using spreadsheet software
· Using database software
· Operating a 10-key; making change and cashiering
· Using basic math skills
Desired Qualifications
· Demonstrated organizational skills, including effective time management and the ability to prioritize and manage multiple tasks simultaneously
· Excellent written and verbal communication skills, along with strong interpersonal abilities to interact professionally with staff, visitors, and the public
· Experience in responding to customer service needs via telephone, in person, or through written correspondence
· Proven ability to take initiative and exercise sound judgment when applying policies and procedures to complete assignments
· Experience creating and editing content for websites using WordPress or similar content management systems
· Experience developing and posting professional content on social media platforms on behalf of a business or organization
