Southwest District Health (SWDH) is recruiting an Administrative Assistant I to join the dedicated group of public health professionals in the Nurse Family Partnership Program (NFP) within the Family and Clinic Services Division. The NFP program is a non–profit evidence–based community health program that helps transform the lives of vulnerable mothers pregnant with their first child.

As an Administrative Assistant I and public health employee, you will serve an active role in improving the health of your community. As part of a small, but mighty team, you will perform required programmatic tasks and office support functions for programs in the Family Services section. Key responsibilities include maintaining records, assisting with billing and reporting, coordinating outreach efforts, and supporting program staff and stakeholders with exceptional organization and service.

This is a limited service position. Length of Limited-Service appointments are defined as appointments tied to funding for a specific program, grant or project that is not indefinite in nature.

 Our generous benefits package boosts total compensation for full-time Administrative Assistant I, transforming the base pay range from $17.74 - $20.87/hour to an estimated total compensation value, including benefits, of $31.69 - $35.52/hour, showcasing our investment in your well-being and professional growth.


Typical Duties:

Candidates must be able to complete the essential job functions with or without reasonable accommodation and meet all the mandatory qualifications of the position.

  • Maintain and update outreach packets, visit paperwork, and client records per retention policy.
  • Assist with NFP graduations, events, meetings, referrals, and Family Services programs.
  • Take meeting minutes, set up conference calls, and support program reporting.
  • Track inventory and record received items; manage requisition requests and purchase orders.
  • Assist with data collection, audits, and quality improvement; monitor nurses’ data entry.
  • Process record transfers, copies, mail, and faxes per medical release policies.
  • Support client billing, including Medicaid claims, and maintain tracking spreadsheets.
  • Run reports and manage data in EHR systems (Power BI, FLO, Athena).
  • Provide customer service, contact referrals, and assist with social media and newsletters.
  • Order marketing materials and support outreach, communications, and program tasks.


Minimum Qualifications:

You must possess all the minimum qualifications listed below to qualify for this position. All required experience and/or education must be listed under the work history section of this application OR on your resume and must include a detailed explanation of your roles and responsibilities at each relevant employer.

Minimum Qualifications (MQ):

  • Good knowledge of:
     -     Office support functions including word processing, filing, composing a variety of business documents and reception;
     -     Gathering and compiling data;

    “Good knowledge” typically means applicants should possess journeyman level expertise, which can be gained through either a closely related bachelor's degree, 2-4 upper division college courses related to the subject and 2-4 years of mid-level work experience closely related to the subject, or a combination of coursework and experience that represents the knowledge level above.

MQ Specialty:

  • Valid Driver’s License
  • Some Knowledge of:
     -     The organization, structure and ethics of the electronic or print news media
     -     Marketing sales strategies/fundraising/volunteer recruitment
     -     
    Supervisory practices
     -     Bookkeeping
     -     State and local government organization structure, functions, and decision-making processes

    “Some knowledge” typically means applicants should have knowledge similar to that of an apprentice or beginner, which can be gained through either 2-4 relevant college courses, 6 months to 2 years of entry-level related work experience, or a combination of coursework and experience demonstrating the necessary knowledge.

  • Approximately 6 months to 2 years of related work experience in the following areas:
     -     Taking minutes
     -     Using spreadsheet software
     -     Intermediate word processing skills
     -     Transcribing
     -     Using database software
     -     Using desktop publishing and related software
     -     Collecting and organizing data and managing a database
     -     Selling products or services
     -     Microsoft Office
     -     
    Interpreting, applying, and explaining complex information

Ideal Knowledge, Skill, and Abilities:

  •  Fluency in speaking, reading, and writing Spanish
