About the Position:

This Administrative Assistant 2 position plays a vital role in coordinating and supporting administrative functions, within the Occupational Licenses Bureau, related to regulatory board meetings, ensuring these meetings run smoothly and efficiently and that they comply with the Idaho Open Meeting Law. Serving as a key point of contact for board members, this role requires strong communication, organizational skills, and attention to detail. Responsibilities include, but are not limited to, handling meeting logistics, compiling meeting materials, ensuring timely dissemination of information, and coordinating necessary travel arrangements to support board members’ attendance. Additionally, the role ensures that all logistical details—such as room setup, technology needs, and meal arrangements—are in place to facilitate the smooth execution of board meetings.

Example of Duties:

  • Perform various functions supporting regulatory boards, including setting up Board meetings, generating and posting agendas, compiling and distributing agenda materials, and drafting and publishing meeting minutes
  • Tracking Board member terms and appointments
  • Developing and editing letters and other correspondence as directed
  • Making travel arrangements and processing vouchers
  • Communicating with Board members, licensees, the public and staff

Minimum Qualifications:

Good knowledge of:

  • Office support functions including word processing, filing, composing a variety of business documents and reception
  • Researching, compiling, and summarizing data for reports

Experience:

  • Interpreting, applying, and explaining complex information such as regulations, policies or services
  • Independently solving problems/performing liaison activities in a work setting
  • Coordinating activities requiring complex arrangements

Preferred Qualifications:

Some knowledge of:

  • Local government organization structure
  • Organizational awareness

Experience:

  • Composing official correspondence, reports, and other complex documents
  • Taking minutes
  • Using Microsoft Office Suite applications
