The Idaho Department of Juvenile Corrections is currently seeking a Management Assistant for our headquarters office in downtown Boise.

The ideal candidate is an assistant who can not only provides a high level of administrative support to the Director and provides staff support to the leadership team, but also functions as Office Manager for our headquarters in Boise. The incumbent is the liaison to other state agencies, legislators and the governor's office. The job duties include supervision of the Office Specialist 2, daily operations oversight of the District 4 Office Specialist 2, as well as Legal Assistant duties. This position requires a candidate that is very detail-oriented and is responsible for ensuring the quality control of correspondence; booklets; newsletters; policies and procedures; and internal and external communications to high-ranking government officials, legislators, board members and others. 

This position is a non-classified "at-will" position and is not subject to the state's classified system as defined in Title 67 State Government and State Affairs; Chapter 53 Personnel System. This position is exempt from overtime under the Fair Labor Standards Act, but is eligible for compensatory time under State of Idaho rules.

Responsibilities:

  • Perform a variety of administrative duties to support the Director and other members of the Director's office, Board of Juvenile Corrections, and leadership team to function more effectively (includes meeting minutes). 
  • Respond to and interact with a variety of external government stakeholders. 
  • Participate as a member of the Director's office team and provide input into management decisions. 
  • Facilitate collaboration across regional support staff to leverage best practices, share ideas, solve problems, and ensure consistency across regions. 
  • Supervise Office Specialist 2 & provide daily operations oversight of District 4 Office Specialist 2 as well as performing Legal Assistant duties  to include filing documents with the court, drafting letters, formatting/proofreading legal motions and memoranda, and assisting with the managing of the legal inbox for the agency. 
  • Manage Headquarters staff, office resources, and logistics to maximize effective operations (office manager). 
  • Screen management calls, inquiries, problems and issues for importance and determine priorities and appropriate course of action. 
  • Respond to sensitive or controversial issues from multiple customers including government agencies, staff, juveniles and their families. 
  • Resolve complex problems or issues.
  •  Interpret, apply and implement policies and procedures as well as Idaho Code. 
  • Provide technical writing support for the Director and Department staff, e.g., proofread documents for grammar and format as well as content. 
  • Coordinate activities or projects between divisions and organizational units. 
  • Plan and carry out special projects as assigned (project facilitator). 
  • Oversee the Director's budget. 
  • Responsible for content revisions to the Intranet and public websites.
  • Facilitate development and submission of draft legislation and rules in support of Department mission (Rules Review Officer). 
  • Direct and oversee management of records retention schedules (Records Officer).


Minimum Qualifications: 

 Experience: 

  • Interpreting and applying regulations or policies and procedures 
  • Planning, organizing, implementing, and evaluating special projects 
  • Independently researching, compiling, developing and summarizing material for reports on a frequent or recurring basis 
  • Analyzing information, identifying problems, defining alternatives and developing recommendations for management/administrators
