Salary $20.00 hourly, $41,600.00 annually

Location: Boise, Idaho

Hours: Responsible for opening and closing procedures Tuesday-Saturday. Some weekend and/or evening hours will be scheduled.

Position Description:

The Visitor Services/Event & Rental Representative position is responsible for providing customer service for the Museum Store, Visitor Services operations, and will support the Event and Rental Coordinator to assist in planning, coordinating, working, and scheduling Idaho State Museum rental spaces. This position is a Tuesday-Saturday with scheduled evenings as needed. The position is responsible for the management of all Visitor Services operations and staff. This includes supervision of part time staff during assigned times.

The museum offers several rental spaces used for events of all types. This position will assist in the successful execution of all internal Idaho State Museum and external events that includes, but is not limited to tasks such as; supporting equipment and facility set-up for meetings, conferences, and special events; providing support for technical assistance in planning conferences, meetings, and special events; aid in the promotion and of available rental spaces to new clients; This position will contribute to the overall visitor experience at the Idaho State Museum.

Examples of Duties

Visitor Services

  • Provide quality customer service to all visitors to the Museum.
  • Weekend supervision of all Visitor Services operations and staff
  • In partnership with Visitor Services Specialist, responsible for handling all customer service and escalated visitor issues.
  • Responsible for opening and closing procedures Tuesday-Saturday
  • Along with other Visitor Services staff, perform light maintenance tasks and daily routine cleaning of public areas and exhibit spaces.
  • Assists with operation of a point-of-sale system to conduct sales, control inventory, and produce reports.
  • Responsible for processing daily deposits and training new staff on proper procedures for financials.
  • Provide support for Museum Store Manager in merchandizing M Store.
  • Contribute to the overall success of M Store sales through suggestive selling and Agency-wide membership sales.

Events and Rentals

  • Assists the Events and Rental Coordinator with all rentable spaces at the Idaho State Museum, including the Idaho room, lobby, and educational classrooms.
  • Supports policies and procedures for facility rentals at the Idaho State Museum, in alignment with the Agency’s strategic plan, and State of Idaho policies and procedures.
  • Assists the Events and Rental Coordinator with formal contract agreements between Museum and external customers.
  • Works with clients as assigned to schedule events and determine space, equipment, audio/visual, security, and set up needs.
  • Assists in maintaining the calendar that includes all Museum, Agency, and Community events.
  • Possess excellent customer service skills and ability to work with people who may be angry, distraught, or frustrated.
  • Event and Rental set up and tear down includes chair and table set up, trash removal, and light housekeeping.
  • Provide support to agency public programs and outreach efforts as assigned.
  • Be responsible for meeting with clients as well as, in partnership with the Events & Rental Coordinator, be present during rental events.

Office Support

  • Performs a variety of office support functions including answering phones, meeting notes, and taking messages.
  • Ordering and inventorying of office supplies; for all Museum program areas and event rental space. Including, but not limited to Office Depot, Brady, and others as assigned.

Minimum Qualifications (Required):

Experience:

  • Questioning customers to obtain detailed information in a business setting.
  • Explaining policies, procedures, or rules
  • Independently handling complaints and upset individuals in a business setting.
  • Answering a business telephone using knowledge of business telephone procedures and etiquette
  • Reviewing documents and records for accuracy and completeness
  • Accessing data using a computerized records system

Preferred Qualifications (Not required):

Experience:

Working in a supportive role for event/rental planning and coordinating facility scheduling, food service, and facility and equipment set-up for a variety of events including meetings and conferences.
