Summary:

The Idaho Department of Correction is recruiting for a Constituent Services Coordinator to serve on the Transparency Records Information Team. This position processes inquiries from the public, government agencies, and families or friends of the people under IDOC jurisdiction. Additionally, the role involves analyzing, interpreting, and processing public records requests, and subpoenas in compliance with applicable laws and policies. The ideal candidate will demonstrate strong communication and interpersonal skills, attention to detail, and the ability to manage sensitive information with discretion and accuracy.

Responsibilities:

  1. Respond to phone calls, emails, letters, and other communication regarding concerns, questions, or requests related to the people under IDOC jurisdiction.
  2. Research and gather relevant information to address inquiries accurately and effectively.
  3. Provide clear and consistent information on departmental policies, procedures, and available resources.
  4. Collaborate with internal departments to resolve constituent concerns or provide updates.
  5. Respond to public records requests, and subpoenas in compliance with applicable laws and policies.
  6. Collaborate with legal staff, correctional facilities, and other departments to obtain necessary documentation; gather, redact, and release records as required for public disclosure.
  7. Ensure confidential and sensitive information is handled appropriately and securely.
  8. Conduct site visits to agency departments, correctional facilities, and district offices to observe and learn departmental operations, processes, and procedures in order to develop a comprehensive understanding of the agency’s functions.
  9. Assist with the development of procedures and training materials related to records processing.
  10. Identify trends or recurring issues and report them to management for potential policy or service improvements.
  11. Uphold the agency’s commitment to transparency, customer service, and the respectful treatment of all individuals.
  12. Performs related duties and fulfills responsibilities as required.

Minimum Qualifications:

  1. Experience interpreting and applying regulations, policies, and procedures. This is typically gained by at least one year of work experience interpreting and explaining complex information such as policies, procedures, regulations, or laws. 
  2.  Experience planning, organizing, implementing, and evaluating special projects. This is typically gained by one year of work or volunteer experience with responsibility for planning, organizing, implementing, and evaluating at least ONE special project that involved extensive planning and action. 
  3.  Experience independently researching, compiling, developing, and summarizing material for reports on a frequent or recurring basis. This is typically gained by one year of work, college, or volunteer experience that required independently researching, compiling, developing, and summarizing materials for reports. 
  4.  Experience analyzing information, identifying problems, defining alternatives, and developing recommendations for management/administrators. This is typically gained by one year of work experience where you were required to analyze information, identify problems, define alternatives, and develop recommendations for managers.
