The Idaho State Museum, a division of the Idaho State Historical Society, has a full-time benefited position for a Visitor Services and Client Representative 2.

Summary

The Visitor and Client Services Representative 2 is responsible for providing excellent customer service to guests entering the Idaho State Museum. This position acts as the lead worker for Visitor Services staff as assigned by the Visitor Services Specialist to include interacting with members of the public, using a point-of-sale system for sales and reporting, supporting the successful organization and execution of rentals, set-up and tear-down of room settings for rentals and public programming, and accurately conveying information to the public.

The regular work schedule for this position is Tuesday-Saturday, typically during a standard workday, and will work scheduled evenings and early mornings as needed.

Job Responsibilities

  • Provide quality customer service to all visitors to the Museum
  • Weekend supervision of all Visitor Services operations and staff
  •  In partnership with Visitor Services Specialist, responsible for handling all customer service and escalated visitor issues
  • Responsible for facility and POS opening and closing procedures Tuesday-Saturday
  • Along with other Visitor Services staff, perform light maintenance tasks and daily routine cleaning of public areas and exhibit spaces
  • Assists with the operation of a point-of-sale system to conduct sales, and produce reports
  • Responsible for processing daily deposits
  • Supports staff in their operation of the POS by assisting and training staff as requested
  • Contribute to the overall revenue goals of the Museum through suggestive selling and Agency-wide membership sales
  • Provide support to the operation of the MStore through sales, supporting inventory management, merchandising, and other tasks as directed
  •  Assists, supports, and collaborates with the Events and Rental Coordinator to facilitate use of rentable spaces at the Idaho State Museum
  • Performs fact-finding interviews with potential clients to determine needs and potential services to contract for facility use agreements
  • Meeting with clients and is present during rental periods to support both the client and ensure the safety/security of the facility
  • Supports policies and procedures for facility rentals at the Idaho State Museum, including the ability to interpret and communicate complex policies, laws, and clients and visitors
  • Works with clients as assigned to schedule events and determine space, equipment, audio/visual, security, and set up needs
  • May be responsible for overseeing some rentals without supervision
  • Assists as directed in maintaining the calendar that includes all Museum, Agency, and Community events
  • De-escalate situations with people who may be angry, distraught, or frustrated
  • Performs setup and teardown of events on a regular basis that includes lifting and moving chairs, tables, and benches multiple times a day
  •  Performs general office duties such as answering phones and taking meeting notes
  • Responsible for ordering office and janitorial supplies

Other Functions and Responsibilities 

  • When available and appropriate, provides support to ISHS Agency-wide events.
  • This position will be responsible for meeting with clients as well as be present during rental events.
  • Possess excellent organizational skills and ability to handle multiple competing projects simultaneously.
  • Performs other duties as assigned.

Minimum Qualifications

Some knowledge of:

  • Interviewing methods- Typically gained by at least six (6) months of full-time work experience where you used interviewing methods to conduct fact-finding interviews

Experience:

  • Interpreting, explaining, and applying regulations, laws or complex policies to carry out assignments-Typically gained through at least six (6) months of work experience where you are responsible for reviewing documents or actions for compliance and/or by explaining to others how laws, regulations or policies apply to specific situations
  • Accessing data using a computerized system-Typically gained by at least six (6) months of work experience where using a computerized records system was part of your primary job duties, including an all-inclusive point of sales system with; OR you have successfully completed college-level coursework/training related to accessing data using a computerized system.
  • Independently handling complaints and upset individuals in a business setting-Typically gained by at least six (6) months experience handling complaints or upset individuals in a business setting. Experience in a retail environment would qualify. Conducting sensitive fact-finding interviews- Typically gained by at least 6 months of experience that required in-depth, one-on-one interviewing to elicit personal, financial, or medical facts of a sensitive nature, or at least 6 months conducting research using primary sources for public programs

Preferred Qualifications 

  • Working in a customer focused setting to provide excellent service and experience-Typically gained by one year’s experience interacting with customers and resolving customer service problems.
  • Working in a position that is focused on generating revenue- Typically gained by at least one year of experience working within a retail or sales environment where you focused on generating revenue.
