Fiscal Administrative Assistant 2

Reporting to the Financial Executive Officer, this position will provide administrative support to PERSI's Fiscal department.

Responsibilities include:

  • Perform a variety of responsible, complex, and confidential administrative financial duties. 
  • Research, gather, and compile relevant information for reports, summaries, or replies to inquiries. 
  • Handle highly confidential and legal information. 
  • Schedule and attend meetings as necessary; take and disseminate minutes and information as needed. 
  • Work closely with Fiscal staff on various special projects. 
  • Perform general clerical duties to include, but not limited to scanning, faxing, filing, emailing and data entry. 
  • Complete various forms for the Fiscal department as required. 
  • Able to field requests from both internal and external contacts, making a point to be available and approachable. 
  • Prioritize and manage multiple projects simultaneously, proactively identifying gaps and taking ownership of projects. 
  • Assist in the ordering, receiving, stocking and distribution of office supplies. 
  • Provide excellent customer service. 
  • Performs other duties as required and/or assigned.

MINIMUM QUALIFICATIONS 

You must possess all the minimum qualifications and the specialty qualifications below. Please make sure your resume or work history supports your meeting the minimum qualifications for this position. Failure to do this may disqualify you from being considered for this position. 

Good knowledge of: 

  • Office support functions which include word processing, filing, composing a variety of business documents, and reception. Typically gained by one (1) or more years of full-time work experience performing a variety of office support functions as described; OR an Associate’s degree in Administrative Services or related field; OR successful completion of at least six (6) credits in college-level coursework that included word processing, filing, and composing documents AND at least six (6) months of full-time work experience that included responsibilities related to office support functions. 
  • Researching, compiling, and summarizing data for reports. Typically gained by one (1) or more years of full-time work experience gathering information from a variety of sources to collect, and compile requested information in a report, which required good knowledge of services, operations, or programs; OR successful completion of at least six (6) credits in college-level coursework that included gathering information from a variety of sources to collect, and compile requested information in a report AND at least six (6) months of full-time work experience that included responsibilities related to office support functions.

Experience:

  • Interpreting, applying, and explaining complex information such as regulations, policies, and services. Typically gained by one (1) or more years of full-time work experience where regularly you were required to interpret, apply, and explain complex information, such as regulations, policies, and services, and how they apply to a specific situation. 
  • Independently solving problems and performing liaison activities in a work setting. Typically gained by one (1) or more years of full-time work experience requiring problem solving skills and working as a liaison with the public, other agencies, and groups performing tasks to problem-solve, resolve conflicts, and/or high-level customer service.
  • Coordinating activities requiring complex arrangements. Typically gained by six (6) or more months of professional level experience where the responsibilities for coordinating, managing, and arranging complex events that included such activities as travel, registration, accommodations, negotiations, coordinating volunteers, audiovisual support, planning meals/catering, obtaining venue space, designing presentations and/or materials, etc.
