Eastern Idaho Public Health is seeking a full-time (40 hours a week) Management Assistant to work from our Idaho Falls office. 

CLASS PURPOSE- Performs various administrative duties that enable management or administrators to function more effectively; or primary focus is on administering a program; performs related work. 

GENERAL INFORMATION- This position will be supporting the General Support Division. Incumbent will support the District Director, Human Resources, Finance, and other areas of the agency as required. Travel may be required throughout the district to satellite offices. 

DISTINGUISHING CHARACTERISTICS- Incumbents perform minimal secretarial or clerical support functions. These positions require management or leadership skills as opposed to administrative secretarial or clerical support. Decisions are non-routine, and the consequence of error impacts the department's internal and external customers. 

DUTIES 

  • Provide administrative support by participating in the District's Board of Health Meeting, Administrative Team Meetings and Leadership Team Meeting. Some duties may include developing meeting agendas, keeping and sending out meeting minutes, and coordinating resources. 
  • Support District Director in an administrative capacity. Duties will vary based on need of project. 
  • Provide support to Human Resources, assisting employees with questions regarding policies, FMLA, and other employee related matters. 
  • Keep employee records up to date including employee lists, files, and certifications. 
  • Serve as backup payroll officer. Processing timesheets, assisting employees with coding of time, and tracking time used under LWOP policy. 
  • Monitor employee compliance with required annual training. 
  • Serve as backup / support for finance and billing. 
  • Assist with processing incoming mail, log checks, post outgoing mail. 
  • Assist with receiving incoming deliveries and following the established process. 
  • EMERGENCY RESPONSE ROLE– Employees of Eastern Idaho Public Health have an “Emergency Response Role” and may be requested to respond to threats of a public health emergency in accordance with the District’s Public Health Preparedness Plan. This may include requirements to work longer shifts, nights, or weekends, and to perform duties different than your daily routine. Employees will not be asked, expected, or allowed to perform duties for which they are not trained or qualified. 
  • Other duties as assigned by the Agency Director. 

MINIMUM QUALIFICATION

  • Excellent verbal and written communication skills. 
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. 
  • Excellent organizational skills and attention to detail. 
  • Proficient with Microsoft Office Suite or related software. 
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications. 

SPECIALTY AREAS 

• Position requires a valid driver's license.
