Position:

The Idaho Department of Environmental Quality (DEQ) is hiring an Administrative Assistant 2 for the Boise Regional Office.

Salary Range: $19.04–$21.42

Responsibilities:

Personnel Management:

· Supervise administrative staff to provide outstanding customer service to internal and external customers.

· Complete timely annual performance evaluations for administrative staff and ensure staff follow DEQ policies and procedures in completing their duties.

· Assist with conflict resolution and problem solving to maintain a productive working relationship between clerical, technical, and management staff.

· Support professional development of staff and ensure outstanding quality of work.

Office and Facility Management:

· Plan and implement all administrative systems for the Boise Regional Office.

· Coordinate with the Regional Administrator, regional managers, and technical staff to identify priority initiatives, negotiate budgets, and direct resources accordingly in a timely manner.

· Plan, coordinate, and oversee day-to-day operations, including scheduling meetings, telephone coverage, office equipment and supplies, vehicle maintenance, and building maintenance required by lease.

· Manage fiscal accounting system for regional office, including accounts receivable and payable, contract development and renewal, purchase requisition development, and state purchase card processing.

· Maintain regional inventory of computers, vehicles, boats, and field equipment used in regional operations.

· Maintain fleet vehicle software and keep data entry up to date.

· Assist with safety activities, including fire and earthquake drills, office security, and personal protective equipment maintenance.

Regional Human Resource Assistance:

· Coordinate with Human Resource staff to assist employees with time sheets, leave requests, travel approval, and injury reporting.

· Assist regional managers with hiring procedures, offer letters, performance evaluations, job descriptions, and position approval requests.

· Assist regional managers and HR staff with new employee orientation and complete new hire documentation.

 

Minimum Qualifications:

Good knowledge of:

· office support functions including word processing

· filing

· composing a variety of business documents

· reception

· researching, compiling, and summarizing data for reports.

Experience:

· interpreting, applying and explaining complex information such as regulations, policies or services

· independently solving problems/performing liaison activities in a work setting

· coordinating activities requiring complex arrangements.

 

 

 

Desired Specialty Minimum Qualification

Proficiency with Microsoft Office software (Word, Excel, Teams) and Adobe

 

Physical Requirements:

Ability to sit and work on a computer for 2-4 hours at a time.

Ability to bend and reach for filing purposes.

Some periods of heavy reading and typing are required.

Ability to lift 30 pounds when working with file boxes.

Some travel may be required.
