Central District Health (CDH) is currently recruiting for an Administrative Assistant 2 to join our dedicated group of public health professionals in our Division of Family and Clinic Services located in our Boise office. The selected candidate will provide direct support to the Division Administrator and will supervise administrative support staff. Example of Duties
· Maintains up-to-date knowledge of policies, procedures, and regulations to ensure adherence to agency protocols, core values, and customer service excellence;
· Ensures the continuous availability of supplies and equipment;
· Provides administrative support for division administrator, program managers, and other internal customers;
· Provides supervision and management to the Family and Clinic Services Administrative Assistants;
· Coordinates and collaborates with IT, finance, and purchasing to obtain needed support and develop new or improved methods or processes for obtaining and providing information, supplies, etc.;
· Resolves customer service issues, record keeping errors, and data entry errors as needed;
· Reviews documents developed within the division for accuracy and completeness;
· Organizes and facilitates division staff meetings including procurement of outside facilities and guest presenters or trainers;
· Compiles and distributes monthly budget tracking documents for each program within the division;
· Manages appointments and facility and equipment reservations for the division administrator;
· Researches databases for client accounts and associated documents;
· Researches and copies records in compliance with Idaho’s public records laws;
· Maintains and updates physical and electronic files;
· Completes requests for travel approval, makes corresponding travel reservations, and processes billings after travel is completed;
· Compiles, processes, and provides technical assistance with electronic timesheets;
· Provides back-up administrative coverage for programs within and external to the division as needed;
· Provides meeting minutes;
· Coordinates, compiles, and submits contract and financial reports and billings as necessary;
· Ensures accuracy and quality of written materials;
· Participates in emergency preparedness training, exercises, and events as needed;
· Answers and routes inquiries to the appropriate staff or other agencies based on knowledge of policies and procedures in the absence of the division administrator.
· Contacts job candidates and arranges interviews
· Represents the division in special project and administrative assistant workgroups;
· Coordinates responses and document delivery with agency program leads;
· Represents the division on agency workgroups convened for the purpose of developing policies or improving the quality of program delivery;
· Schedules orientation and training of new employees;
· Coordinates internal projects, quality assurance, and evaluation of administrative work-flow performance;
· Other duties as assigned.
