Administrative Assistant 2

The Idaho Division of Human Resources (DHR) is seeking an Administrative Assistant 2. This announcement will be used to fill a classified position located at the DHR located at Central Office downtown Boise. This position will provide support for statewide HR training and communications initiatives and central office administration. 

Summary:
To perform complex secretarial, office administration, and public relations assignments; perform related work.

Responsibilities:

  • Schedule training dates and manage details including room reservations, participant communications, parking passes, meeting links for online courses, room setup, and day-of logistics.
  • Manage registrations, track training participation, and troubleshoot employee questions in Luma L&D.
  • Order training materials and maintain supply inventory.
  • Support administration of the Certified Public ManagerĀ® Program (booking rooms, scheduling, communications, rosters, class evaluations; website updates; material ordering/organizing; booking travel; transition from legacy system to new LMS)
  • Create and send agency communications.
  • Update and maintain training pages on the DHR website.
  • Maintain central office supply and asset inventory.
  • Schedule agency meetings and create links/provide technical assistance if hosted online.
  • Assist in the planning and execution of agency events.
  • Oversee office maintenance needs and submit service tickets to building administration.
  • Provide exceptional customer service to state employees and the public.
  • Responsible for high level secretarial duties
  • Coordinating administrative activities requiring frequent contact with executives, the public, other agencies and/or government officials
  • Utilizing effective public relations and liaison skills when communicating with stakeholders
  • Retaining extensive knowledge of department programs and objectives

Minimum Qualifications: 

Good knowledge of: 

  • Office support functions including word processing, filing, composing a variety of business documents and reception
  • Researching, compiling, and summarizing data for reports.

Experience: 

  • Interpreting, applying and explaining complex information such as regulations, policies or services
  • Independently solving problems/performing liaison activities in a work setting
  • Coordinating activities requiring complex arrangements
Preferred Qualifications:

Good knowledge of:

  • Organizational awareness
  • Teamwork

Experience:

  • Using Power Point
  • Using HTML & Web Editing Tools/Converting Images and Text
  • Using Publisher/Adobe Illustrator
  • Using Microsoft Word, Outlook and Excel
  • Using Microsoft Word at the advanced level
